Refund Policy

Last updated: October 15, 2026

This policy explains when refunds are available for Vow Weddings photography and videography bookings. It summarizes the cancellation and refund terms in your Client Service Agreement; if anything here differs from your signed Agreement, the Agreement applies.

1. Refund eligibility

Your retainer. A 50% retainer is due when you sign your Agreement. It reserves your date and team, covers the planning work we start right away, and replaces the other couples we turn away for your date. The retainer is non-refundable, except as described below under “If we cannot provide your coverage.”

If you cancel. You may cancel at any time by writing to us.

  • More than 30 days before your wedding: We keep the retainer and refund any amount you paid above it.
  • 30 days or less before your wedding: The full package price is owed and is not refundable, because your team, schedule and editing time are already committed.
  • Travel costs you approved and we already booked, such as flights or hotels, are not refundable.

If we cannot provide your coverage. If neither your assigned photographer or videographer nor a qualified replacement from our network can cover your wedding, we refund everything you have paid, including the retainer, within 14 days.

Partial coverage or lost files. If, for reasons within our control, your team covers fewer hours than you booked, or some photos or footage are lost or damaged, we will offer a refund in proportion to what was affected, or another remedy you agree to, such as a portrait session or extra editing. For example, if 1 of 8 booked hours of photography is missed, the refund is one-eighth of the photography package price, not including travel or add-ons. If all files from your wedding are lost, we refund everything you paid.

What is not refundable

  • Your editing style or creative choices, once delivered. Instead, you may request one round of revisions for photos and one for films within 7 days after delivery. Song changes are not part of a revision and are a paid change.
  • Drone coverage that could not be flown because of weather, venue rules, FAA rules or safety.
  • Coverage lost because the schedule ran late, key people were not available, venue rules limited your team, or information was not shared with us in time.
  • Coverage paused or ended because of unsafe conditions, such as harassment, threats, aggressive guests or hazardous weather.
  • Time your team took for a meal break when no meal was provided.
  • Services you choose not to use on the day, such as hours you end early.

2. Rescheduling and package changes

Rescheduling. You may move your wedding to a new date once, at no fee, if:

  • You ask in writing at least 90 days before your original date.
  • Your new date is within 12 months of the original date.
  • We can staff your new date.

Your payments move to the new date. If we cannot staff the new date, or you ask to reschedule within 90 days of your wedding, the request is treated as a cancellation under section 1. Travel of up to 120 miles round trip is included. If your new location is beyond that, travel fees apply at $0.75 per mile per team member.

Package changes. You can upgrade your package or add services at any time, subject to availability. Once booked, packages cannot be changed to a smaller or lower-priced package, and services cannot be removed.

3. Events outside anyone's control

Sometimes a wedding cannot go ahead because of something no one can control, such as severe weather, natural disasters, fire, flood, pandemics, government orders, venue closure or serious travel disruption. If this happens, we will first offer to move your booking and payments to a new date within 12 months, depending on date availability. If a new date is not possible, we will refund all payments above the retainer.

4. How to cancel or request a refund

  1. Email us at support@vowweddings.media from the email address on your Agreement. Please include both partners' names, your wedding date, what you are requesting (cancellation, rescheduling or a refund), and why.
  2. We confirm receipt within 2 business days and review your request against your Agreement.
  3. We reply with our decision within 3–5 days, including any refund amount and how it was calculated.
  4. Refunds are paid to your original payment method within 14 days of confirming the refund. Your bank may take a few extra days to show it.

Cancellations and refund requests must be made in writing. Requests made only by phone, text or social media message are not final until confirmed by email.

5. Chargebacks and disputes

Please talk to us first. If you have a concern about a charge or our service, contact us at support@vowweddings.media before contacting your bank or card company. Most issues can be resolved quickly, and we will work with you in good faith.

If you file a chargeback. Your bank will review the dispute. We will share the information they need, including your signed Agreement, payment records, our communications with you and proof of delivery. Filing a chargeback for services you received, or for a payment that is non-refundable under your Agreement, does not cancel your obligations under the Agreement.

Resolving disagreements. If we cannot agree, both parties will try in good faith to resolve the issue within 30 days, and may use mediation before going to court. Your Agreement is governed by Florida law.
